Managing Asset Tags and Business Groups (New UI)

The new asset tags and business group management features are integral to the UI revamp, offering a more streamlined and intuitive workflow. These enhancements make creating and editing tags and business groups easier, providing greater control and visibility across assets, playbooks, and saved searches.

While the core functionality remains the same, you can still refer to the previous Business Groups and Asset Tags management content (old UI) for guidance.

However, please note the enhancements in the new UI that directly impact business groups and asset tags, improving overall user experience and efficiency.

Asset Tags Management: Enhanced Capabilities

Create New Asset Tags

To create a new asset tag:

  1. Go to the Assets page > Asset Tags > Create new Asset Tag.

  2. Create new asset tags: set the name and impact, create a new dynamic rule set (Magic Search parameters), use a saved search, or select specific assets.


  3. Preview feature: As you build your query, click to preview the assets that match your criteria in real-time. The preview feature also allows you to see the total number of assets that match your query.

    • Optional toggles:

      • Use the tags as dynamic property: When creating a new aset tag, you can choose to make it a dynamic property, which allows for dynamic assignment in ticketing. A tooltip provides guidance on the naming convention.

      • Use the tag as a filter in analytics: you can designate an asset tag as a filter in the analytics reports.

  4. Tag creation success/failure message: Once you’ve created a tag, a success notification will confirm the action, or a failure message will provide feedback if something goes wrong.

  5. To see the asset tag you created, go to Assets and click Asset tags. Scroll to select the relevant asset tag or search for it using free text search box.


Edit Existing Asset Tags

To edit an asset tag:

  1. Go to Assets > click Asset Tags > find the relevant asset tag and click the pen symbol to edit, or click the tag itself to enter edit mode.

  2. Perform the required edits.
    Notes:

    • Once you edit a tag, you'll be alerted if those changes will impact associated business groups, playbooks, or saved searches.

    • Editing also allows you to easily convert tags to dynamic properties or revert them, with clear prompts guiding you through potential impacts on the platform.

  3. Once ready, click Edit to apply the changes.

Delete Asset Tags

To delete a tag:

  1. Go to Assets > click Asset Tags > find the relevant asset tag and click on it.

  2. Click Delete Tag.

    Note: The ability to delete tags comes with safeguards. If a tag is in use, the delete button will be disabled with a tooltip explaining why. You will need to remove dependencies before proceeding.

  3. Confirm the deletion.


Convert an Asset Tag to a Business Group

Users with permission can now convert asset tags to business groups directly from the asset tag edit screen.

Note: You cannot convert a dynamic property to a business group, but clear instructions are provided for converting the tag first.

To convert an asset tag to a business group:

  1. Go to Assets > click Asset Tags > find the relevant asset tag and click on it.

  2. Click the "Convert to Business Group" button.


  3. A confirmation notification will appear. Read it through to make sure you understand the impact of the conversion.

  4. If approved, click Convert to Business Group.

This action is reversible. You can convert the business group back to an asset tag by clicking Convert to Asset Tag which becomes available once the tag is converted.

Business Group Management: Streamlined Processes

Convert Asset Tags to Business Groups

Users with permission can now convert asset tags to business groups directly from the asset tag edit tag screen. This feature is disabled if the tag is a dynamic property, but clear instructions are provided for converting the tag first.

Create and Manage Business Groups

A new interface allows for the creation and management of business groups. This includes setting impact, SLA policies, and parent groups, all from a single page.

To create a Business Group:

  1. Go to Settings > Business Groups.

    This is where you'll see all the business groups in the organization.

  2. Click New Business Group.

  3. Create a new business group: set the name and impact, SLA policy, and Business Group parent. Then, set new dynamic rule set (Magic Search parameters), use a saved search, or select specific assets.

  4. Preview feature: Similar to asset tags, you can preview the assets that match your business group criteria.

Delete Business Groups

As with asset tags, deleting a business group is restricted if it’s in use elsewhere on the platform. Clear instructions guide you through the process of removing dependencies.

To delete a business group:

  1. Go to Settings > Business Groups > find the relevant asset tag and click on it.

  2. Click Delete Business Group.

    Note: The ability to delete business groups comes with safeguards. If the business group is in use, the delete button will be disabled with a tooltip explaining why. You will need to remove dependencies before proceeding.

  3. Confirm the deletion.

Edit Existing Business Group

To edit a business group:

  1. Go to Settings > Business Groups > find the relevant asset tag and click on it.

  2. Perform the required edits.

Convert a Business Group to an Asset Tag

Users with permission can now convert a business group to an asset tag directly from the business group edit screen.

  1. Go to Settings > Business Groups > find the relevant asset tag and click on it.

  2. Click the "Convert to Asset Tag" button.

  3. A confirmation notification will appear. Read it through to make sure you understand the impact of the conversion.

  4. If approved, click Convert to Asset Tag.

This action is reversible. Once the asset tag is converted, you can convert it back to a Business Group by clicking Convert to Business Group, which becomes available.
